How to automate your Meta and TikTok Ads lead follow-up with n8n

What is n8n and what is it for in a lead-generation campaign?

n8n is a workflow automation tool: it connects the platforms where your leads come in (Meta Ads, TikTok Ads, a web form) with the tools where you manage them (your CRM, WhatsApp, the sales rep's inbox). In a lead-generation campaign it serves one very specific purpose: making sure no lead goes unanswered, and that the first reply arrives in minutes, not hours.

The campaign generates the lead; what happens in the next 5 minutes decides whether that lead becomes a client or a forgotten row in a spreadsheet.

Why response speed decides conversion

The reference studies on speed to lead (Lead Response Management, InsideSales/Harvard Business Review) all point the same way: contacting a lead within the first 5 minutes makes you more than 8 times as likely to qualify them compared to waiting 30 minutes — and most companies take hours, or simply never reply.

Translated to a real campaign: if you pay €15 per lead on Meta Ads and reply the next day, you are paying full price for a lead that has already lost half its value. Automation doesn't improve the ad; it improves what you do with what the ad already brought you.

The minimum workflow you should build first

Before any sophisticated automation, build this four-step flow. It delivers the most return per hour invested:

  1. Trigger: the lead arrives from the native Meta Ads or TikTok Ads lead form (webhook or n8n's native Meta Lead Ads node).
  2. Record: n8n creates the contact in your CRM with the source campaign and ad — without this, in 30 days you won't know which ad brought which client.
  3. Instant first reply: an immediate WhatsApp message or email, personalised with the name and the interest they selected on the form. It doesn't sell: it confirms there is someone on the other side and proposes the next step.
  4. Team alert: a notification to the sales rep with the lead's details, so the human call lands while the interest is still warm.

With this running, every lead gets a reply in under a minute, 24 hours a day — including the ones that come in on a Saturday at 11 p.m.

n8n or your CRM's native automations?

It depends on where your data lives and how many tools you need to connect:

  • If your whole funnel lives in an all-in-one CRM, its native automations can cover the minimum flow without an extra tool: fewer moving parts, less maintenance. The hard part isn't the tool, it's designing the circuit well — and that's where we can help you.
  • n8n pays off when pieces live outside the CRM: an ERP, your own database, an online store, the team's Google Sheets, or conditional logic the CRM doesn't support. Being open source and self-hostable, you don't pay per operation and you control where the data lives — relevant if you handle customer data under GDPR.
  • What doesn't change with the tool: the quality of the first-reply message, and a human calling afterwards. Automation delivers the lead; it doesn't close it.

Three common mistakes when automating follow-up

  • Automating the sale, not the reply. A bot that tries to close the sale over WhatsApp scares people off; a message that confirms receipt and books a call, converts. Automation opens the door; a person walks through it.
  • Not recording the lead's source. If the contact lands in the CRM without its source campaign and ad, within a month it will be impossible to know which part of the budget brings real clients and which only brings form fills. Cost per lead without attribution is a blind metric.
  • Building the flow and never watching it. Meta tokens expire, webhooks fail. An automation flow needs an error alert (n8n sends one itself) and a weekly check that leads are still coming through; finding out at the end of the month that they had been lost for two weeks is expensive.

What it costs and how long it takes

n8n Cloud starts at around €20-24/month; self-hosted, the cost is the server (from ~€5/month on a basic VPS). The minimum flow described above can be built and tested in an afternoon if the access credentials (Meta, CRM, WhatsApp Business API) already exist; getting those accesses and permissions usually takes longer than the automation itself.
